Who we are
York House Clearance is a family-run house clearance business operating in York and the surrounding towns and villages of North Yorkshire. This policy explains what personal information we collect when you contact us or use this website, what we do with it, and what rights you have over it. The information we collect
When you fill in our quote form we collect the details you give us — typically your name, telephone number, email address, the address of the property to be cleared and any description of the job you provide. If you call, text or email us instead, we hold whatever details you share in that conversation. We do not ask for payment card details through this website, and we do not collect special category data such as health information.
How we use it, and why we are allowed to
We use your details to reply to your enquiry, prepare and send you a quote, arrange and carry out the clearance, and keep the records we are required to keep as a licensed waste carrier. The lawful basis for this is normally that it is necessary to take steps at your request before entering into a contract, or to perform that contract. Where we keep records to satisfy waste carrier or tax obligations, the lawful basis is compliance with a legal obligation. We do not use your details for marketing unless you have asked us to.
Our quote form
The quote form on this site is provided by Cognito Forms, a third-party form service. When you submit the form your answers are transmitted to and stored by Cognito Forms on our behalf, and we are notified of your enquiry. Cognito Forms acts as a data processor for us and has its own privacy notice covering how it handles that data.
Cookies and third-party content
This website does not set advertising or analytics cookies, and we do not run any tracking or profiling tools on it. WordPress may set a small number of strictly necessary cookies, and only sets a comment or login cookie if you are an administrator signing in. The site loads fonts and icons from Google Fonts and from the Cloudflare-hosted Font Awesome library, and embeds the Cognito Forms quote form; because these are loaded from other companies’ servers, those companies will receive your IP address and basic browser information in order to serve the files. If we add analytics or advertising tools in future, we will update this page and add a cookie notice.
Who we share it with
We do not sell your personal information, and we do not share it with third parties for their own marketing. We share it only where it is necessary to do the job or to meet a legal duty — for example with the form provider described above, with our IT and email providers, with our accountant, or with a regulator such as the Environment Agency or HMRC where we are required to.
How long we keep it
Enquiries that do not lead to a booking are kept only as long as we reasonably need them to follow up, and are then deleted. Records relating to completed work — quotes, invoices and waste transfer records — are kept for as long as tax and waste carrier legislation requires us to keep them, and are then securely destroyed.
Your rights
Under UK data protection law you can ask us for a copy of the personal information we hold about you, ask us to correct it if it is wrong, ask us to delete it, ask us to restrict how we use it, object to our use of it, and in some circumstances ask us to transfer it to someone else. To make any of these requests, email hello@yorkhouseclearance.co.uk. We will respond within one month, and we will not charge you for it. You do not need to give a reason.
Complaints
If you are unhappy with how we have handled your personal information, please tell us first so we have the chance to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time — for example if we change the tools this website uses. Any changes will appear on this page.
